Everything is shared, so everything is nobody’s
A trolley of tablets belongs to no one teacher. A projector moves between two rooms depending on the timetable. A set of instruments goes home over the holidays with pupils whose names are on a list in a drawer.
At the end of the year somebody is asked what the school owns and what it is worth, and the honest answer is a folder of purchase orders and a good memory.
The inventory is not missing because anyone was careless. It is missing because no single person was ever responsible for writing it down.

Equipment can sit with a department or a room rather than a person, which is how most of a school actually works. Reassign it when the timetable changes.

Scope an audit to a block or a department, walk it scanning, and finish with a list of what is missing and what turned up somewhere it should not be.
A value for the insurer
Purchase cost, purchase date and straight-line or declining-balance depreciation give a current book value for the whole register, or any part of it.
Everyone can look, few can change
Invite the whole staff at no extra cost. Members see only what is issued to them; technicians and admins hold the register. Roles are enforced in the database.

Questions
- Do pupils need accounts?
- No. People in the register do not need a login at all, so a pupil or a visiting teacher can hold an item without ever signing in.
- Can we separate departments so they only see their own?
- Not yet. Today the split is by role: Members see only what is issued to them, everyone above that sees the whole register. Per-department scoping is on the roadmap.
- Is our data kept separate from other schools?
- Yes. Every record is scoped to your workspace and enforced by row-level security in the database, in addition to checks in the application. A query that forgets the filter still returns nothing.
- Can we export everything?
- Yes, at any time, as CSV — the filtered view you are looking at, or the whole register.
