Onboarding is fine. Somebody buys a laptop, types a row, assigns it. The trouble starts on the way out: the row still says Priya has the MacBook, Priya left in March, and nobody is certain whether it came back or went home in a rucksack.
Then it compounds. Two people believe they have the same docking station. A machine goes in for repair and quietly never returns. A licence renews for someone who has not worked here since last year.
None of this is carelessness. It is what happens when the record of who has what lives somewhere nobody updates at the moment the thing actually changes hands.

Assign to a person, not a location
Every check-out names who took it, when, and what condition it was in. Returns close the record. The ledger is append-only, so nothing in the history can be quietly edited later.
Offboarding becomes a list
Open the person, see everything still out with them, check each item back in as it arrives. No cross-referencing a spreadsheet against your memory of a leaving date.
Fields that fit a laptop
Serial number, processor, RAM, operating system, warranty expiry, purchase cost. Set them per category, mark the ones you refuse to do without as required, and the form will not let anyone skip them.
Warranty expiry before it lapses
The dashboard surfaces warranties running out in the next sixty days, so a repair decision is made while it is still free.

Questions
- Can staff see the whole asset register?
- No. Someone with the Member role sees only the equipment issued to them, and not its purchase cost. Managers and admins see the whole register. That split is enforced in the database, not just hidden in the interface.
- Do we have to buy scanners?
- No. Every asset gets a printable QR label and a phone camera reads it. If you already own Code 128 scanners those work too.
- Can we import what we already have?
- Yes. Upload a CSV, map your columns to the fields — a normally shaped export usually needs no mapping at all — and review before anything is written.
- What does it cost for a large team?
- Members are unlimited on every plan. Pricing is per asset tracked, not per seat, so inviting the whole company costs nothing.
